Position Overview

Ultimate Staffing Services is seeking a highly organized and detail-oriented Project Administrator to join their client's dynamic team in California. This full-time position requires an individual with extensive experience in construction administration, project coordination, and contract management. The successful candidate will play a crucial role in supporting project management, operations, and accounting teams, ensuring that all project documentation and compliance requirements are met efficiently and accurately.

Responsibilities

  • Conduct contract review and compliance management, including identifying and tracking key contract requirements such as insurance, bonds, and project-specific compliance.
  • Manage project setup and handoff processes, ensuring all startup documentation is complete and accurate.
  • Administer subcontract agreements, ensuring compliance with all required documentation and tracking execution status.
  • Coordinate change order administration, maintaining comprehensive records of contract modifications.
  • Oversee project administration and document control, ensuring all project records are accurate and up-to-date.
  • Provide labor compliance support, including coordination of documentation and reporting requirements.
  • Support billing and accounting by managing preliminary notices, lien releases, and contract documentation for billing purposes.
  • Maintain project tracking logs and generate reports related to contracts, compliance, and project status.

Qualifications

  • 5+ years of experience in construction administration, project coordination, or contract administration.
  • Strong understanding of commercial construction contracts and project documentation.
  • Proficiency in Microsoft Excel, Word, Outlook, and PDF software.
  • Excellent organizational, communication, and follow-up skills.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • High School diploma required.
  • Experience with commercial fencing, specialty contracting, or subcontractor operations is preferred.

Required Work Hours

Monday to Friday, first shift.

Additional Details

Max Pay: $33.00 per hour

Min Pay: $29.00 per hour
